WeWork is seeking a Lead, Paralegal to provide comprehensive legal support across our global Intellectual Property, Marketing, and Privacy functions. This role is designed for a highly organized, process-driven, self-starting, and motivated individual who will facilitate the day-to-day operations of our brand protection and privacy programs, and provide responsive assistance to internal stakeholders across WeWork’s business lines. This is a high impact, cross functional role that will help protect the WeWork brand, support legal compliance, and facilitate growth. We are looking for someone with a baseline of technical experience that is hard-working, willing to learn, and eager to dive in head first to make an immediate impact.
Responsibilities:
Intellectual Property and Marketing:
Trademark Portfolio Maintenance: Monitor WeWork’s trademark watch notices for potential actions, compile recommendations, and prepare for and drive weekly discussions where decisions are made by attorneys on the team. Review, maintain and track trademark renewal/application deadlines. Collect specimens to support trademark applications, renewal or use as evidence in proceedings. Maintain an updated database of specimens to remain relevant to brand direction. Instruct and liaise with outside counsel on decision-points, action items, and requests for information. Review legal invoices for accuracy.
Domain Watch Notices: Monitor domain watch notices for potential actions. Draft and submit domain takedown cease and desist letters as needed. Assist with UDRP complaint drafting and proceedings. Maintain an ongoing list of infringing domains to inform domain portfolio strategy.
Brand Enforcement: Perform research to assist in investigations of brand misuse and potential infringement. Liaise with and instruct outside counsel as needed.
Legal and Business Support: At the direction of attorneys on the team, draft terms and conditions and promotional offers for marketing materials, coordinating with stakeholders to ensure compliance with consumer protection laws from a global perspective. Draft and review agreements and licenses for marketing functions related to events, paid media, sponsorships, speaking engagements, and brand placements. Help conduct reviews in connection with new product and/or business launches.
Privacy:
Data Subject Rights: Act as the primary owner of our global data subject rights (DSR) processes and management of DSR requests. Monitor and manage WeWork’s Privacy inbox and OneTrust privacy portal to effectively triage and process access, deletion and other DSR requests in a timely manner, coordinating with the privacy attorneys, IT and system owners and responding to data subjects within applicable legal deadlines
Sales and Procurement Enablement: Support our sales and procurement functions by facilitating security questionnaires and compliance reviews.
Records Maintenance: Support privacy program operations by updating Records of Processing Activities (ROPA), data maps, and policy documentation. Support WeWork’s compliance posture through accurate record-keeping, documentation, and audit preparation.
Privacy/ Security Questionnaires: Draft responses to customer privacy/security questionnaires using templates and a centralized answer repository.
Evidence Gathering: Assist with the maintenance of security certifications (e.g., ISO 27001) by gathering technical evidence and organizing documentation.
Policy Updates: Help maintain and update WeWork’s privacy policies, cookie policies, and customer-facing compliance documentation.
Vendor Risk Assessment: Support vendor risk assessments and third-party due diligence requests.
Legal and Business Support: At the direction of attorneys on the team, facilitate the negotiation of data processing agreements, and respond to routine requests from stakeholders throughout WeWork’s business functions.
General:
System Optimization: Build systems and, where applicable, automate workflows to enable the team to triage and prioritize tasks.
Knowledge Management: Build and maintain the knowledge base that powers fast, consistent responses to customers and internal stakeholders.
Document Execution: Oversee the signing and notarization of a high volume of legal documents related to WeWork’s trademark portfolio maintenance.
Cross-Functional Bridge: Serve as a reliable operational resource connecting stakeholders across WeWork’s business.
Other Projects: Take on additional projects and tasks as needed in response to the evolving needs of the IP and Privacy legal team.
Team Organization: Schedule and maintain cadence of regular team meetings. Keep track of ongoing projects, providing project management where necessary.
Experience: 3+ years of paralegal or compliance analyst experience, ideally within a global technology, real estate or law firm environment. Experience with some or all of the following is strongly preferred, though not required for the right candidate who is hungry and willing to learn: data subject requests, vendor risk management, trademark portfolio management, OneTrust, ticketing systems such as Jira and Salesforce, and eDiscovery platforms such as Relativity. Experience with, or interest in, general purpose and legal-specific AI tools is also a plus.
Communication: Strong communication skills are essential for this role. The candidate must be able to explain technical security controls and privacy concepts in clear, simple language for customers and internal stakeholders.
Education: Bachelor's degree required
Base Pay: $73,500 to 98,000 annually
Incentive Compensation: WeWork employees are eligible to participate in an incentive plan specific to their role. Your recruiter will detail what incentive plan is applicable to this specific role. WeWork incentive plans are subject to the terms of the applicable incentive compensation plan, which will be made available to you after commencing employment. WeWork reserves the right to amend its incentive plans, and nothing in this job requisition or any other document creates a right to a specific incentive plan payment.
Benefits: Full-time employees are eligible for comprehensive benefits (subject to the terms of applicable plans/policies/agreements, which will be made available to you after commencing employment), including: 20 days of PTO, approximately 13 paid holidays, and 80 hours of paid sick time per full calendar year; 16 weeks paid parental leave; competitive healthcare benefits; 401k plan; and life and AD&D insurance.
