A day in the life

You will be a part of a growing Legal Operations team that works cross-functionally to help achieve Prologis’ ambitious mission of enabling the world’s teams to work together effortlessly. We are seeking a detail-oriented, tech-savvy and customer-friendly Legal Coordinator to join our dynamic Legal team. Reporting to the Director of Legal Operations, you’ll play a crucial role in supporting the team in San Francisco, including streamlining our day-to-day workflows and effectuating digital transformation. This position presents a unique opportunity to make an impact by fostering excellence in legal operations, implementing innovative solutions, and ensuring that the Legal department operates at peak efficiency.

This role is based in our San Francisco office with an office-centric hybrid schedule. If you're interviewing for this role, your Talent Acquisition Partner will share more about the in-office requirements.

Key responsibilities include:

  • Provide administrative support to the Legal Operations team, ensuring seamless execution of daily tasks and special projects.
  • Support the administration, implementation and optimization of legal technology platforms, adapting to evolving needs and collaborating with stakeholders.
  • Use financial tools such as PeopleSoft and SimpleLegal to generate expense reports, process invoices, track legal spend, and run reports for budgeting and forecasting.
  • Support project tracking, data collection, document organization, and calendar management to keep initiatives on schedule.
  • Coordinate logistics for meetings, including scheduling, preparing materials, taking notes, and managing follow-ups.
  • Assist in planning and executing departmental events, such as town halls, team-building activities, and quarterly Board of Directors meetings.
  • Collaborate with internal teams to support Legal Operations training programs and onboarding resources to enhance team efficiency.
  • Provide general administrative support to the Legal leadership and practice groups as needed, including document management, correspondence, and ad-hoc requests.


Building blocks for success

Required:

  • Minimum 2-3 years of administrative support or operational experience in a fast-paced environment.
  • Proficiency in various technology applications including Microsoft Suite (e.g., Word, Excel, PowerPoint, Outlook, Teams, SharePoint), Adobe Acrobat, Docusign, Zoom, and Box.
  • Strong organizational and project management skills.
  • Meticulous attention to detail and accuracy.
  • Eye for design for developing content and materials such as presentation decks, tracking sheets, or handbooks.
  • Experience in curating, creating, and/or writing content for target audiences such as blog or social posts.
  • Ability to communicate and collaborate effectively with customers, peers, vendors, and all levels of management.
  • Proven leadership capabilities.
  • Positive, proactive work ethic with a flexible approach to adapt and pivot in response to evolving business requirements.
  • Integrity and discretion in handling confidential matters and documentation.
  • Interest in becoming proficient in other tools and cutting-edge technologies, such as AI, to further optimize business practices.

Preferred:

  • Knowledge in financial and work management software, such as PeopleSoft, Concur, Smartsheet, or similar platforms.
  • Familiarity with legal technology (e.g., Icertis CLM, Relativity eDiscovery, legal hold, matter management) is a plus but not required.
  • Experience in legal operations is a plus but not required.

Hiring Salary Range of: $31.70 - $38.50 per hour ($66,000-$80,000 annual). Salary and whole compensation package (bonus target) to be determined by the candidate’s location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
