We are seeking a Messaging & Collaboration Administrator to own the day-to-day operation, coexistence management, and ongoing evolution of Jeppesen’s corporate email environment. This is a hands-on administration role at a pivotal point in the company’s post-divestiture transformation: the primary responsibility is executing the migration of an aging on-premises Microsoft Exchange environment into our Microsoft 365 tenant, while maintaining reliable mail delivery across a complex, multi-platform coexistence landscape.
The environment currently spans three platforms managed in parallel:

Microsoft Exchange (on-premises) — a legacy server that supports a significant volume of production and external-facing business processes. Migration of mailboxes and services into M365 is the primary near-term project for this role, with the eventual goal of decommissioning the on-prem environment entirely.

Microsoft 365 (Exchange Online) — our target productivity platform and future primary mail system.

Google Workspace (Gmail) — the current productivity platform for a wholly-owned but not yet fully integrated subsidiary. This environment is modern and stable; separation of its mail domain from the primary domain is a longer-horizon effort.

Proofpoint — serving as the coexistence “traffic cop,” routing mail between platforms based on group-based policies during the transition period. Proofpoint is a critical dependency until the Exchange migration is substantially complete.
This role operates as a collaborative partner — not a sole authority — working closely with the Security, End User Services, Network, and broader IT teams. The successful candidate understands email security concepts and can implement controls as directed, but is not expected to independently design security architecture. When not engaged in messaging administration, this person will contribute to general End User Services support alongside the broader EUS team.
Key Responsibilities
Exchange Migration & M365 Buildout (Primary Near-Term Focus)

Plan and execute the migration of mailboxes, shared mailboxes, distribution groups, and related configurations from on-premises Exchange to Exchange Online / M365.

Identify and document production business processes and external-facing mail flows dependent on the on-prem environment; coordinate with business stakeholders to remediate or migrate each dependency prior to cutover.

Validate mail flow, routing, and delivery integrity throughout migration phases; manage cutover events with minimal user disruption.

Contribute to the decommission plan for the on-premises Exchange server, ensuring a clean, well-documented transition to the cloud-centric operating model.
-
Configure and maintain Exchange Online settings including transport rules, connectors, hybrid configuration, and mail-flow policies as needed throughout the coexistence period.
Proofpoint Coexistence & Mail Routing

Administer Proofpoint as the central routing layer directing mail between on-prem Exchange, Exchange Online, and Google Workspace under the shared primary mail domain.

Maintain and update group-based routing policies in Proofpoint as mailboxes migrate and the user population shifts between platforms.

Troubleshoot mail flow issues across the coexistence topology, including delivery failures, routing anomalies, and quarantine events.
-
Implement and maintain email security controls in Proofpoint (anti-spam, anti-phishing, anti-malware, sandboxing) in coordination with and per guidance from the Security team.

Monitor Proofpoint dashboards and logs proactively; escalate security events to the Security Operations team as appropriate.
M365 & Google Workspace Administration

Administer day-to-day Exchange Online and Google Workspace operations: mailbox provisioning, distribution lists, shared mailboxes, resource accounts, and directory synchronization.

Configure and maintain SPF, DKIM, and DMARC records across sending domains; work with the Security team to drive enforcement and monitor aggregate reporting.

Implement DLP policies, message encryption, sensitivity labeling, and retention policies as defined by the Security and Compliance teams.

Support eDiscovery requests, litigation holds, archiving, and journaling configurations in coordination with Legal and Compliance.

Automate routine administration and reporting using PowerShell (Exchange Management Shell, Microsoft Graph) and Google Workspace Admin tools.
-
Define and maintain SLAs for messaging services; proactively monitor platform health and remediate degradation before it impacts users.
End User Services Support

Contribute to general End User Services support — desktop, M365 productivity applications, hardware, and common user issues — when not actively engaged in messaging administration duties.

Serve as the escalation point for complex messaging issues from the help desk; resolve issues quickly and reduce repeat incidents through root-cause analysis and documentation.

Minimize false-positive filtering impact on end users; communicate service changes and maintenance windows clearly to affected stakeholders.

Develop and maintain user-facing guidance and self-service resources for common messaging tasks.
Documentation & Cross-Team Collaboration

Maintain runbooks, SOPs, and configuration documentation for all messaging platforms; keep documentation current as the environment evolves through migration phases.

Partner with the Security team to implement email hardening controls within the messaging platforms.

Collaborate with Network, Identity (Okta / Azure AD / Entra ID), and other IT teams on dependencies that intersect with mail flow and directory services.

Participate in vendor support interactions with Microsoft, Google, and Proofpoint; escalate and track cases to resolution.

Communicate service status, migration progress, and incidents clearly to IT leadership and relevant business stakeholders.
Required Qualifications

3–5+ years administering Microsoft Exchange (on-premises) and/or Exchange Online / M365 in enterprise environments.

Demonstrated hands-on experience with Exchange on-premises to Exchange Online migration projects — planning, execution, cutover, and post-migration validation.

1+ years of hands-on Proofpoint administration, including mail routing configuration, quarantine management, and security policy tuning.
-
Working knowledge of Google Workspace administration: Gmail routing, admin console, groups, and basic mailbox provisioning.

Solid understanding of SPF, DKIM, and DMARC — configuration, enforcement, and troubleshooting.

Proficiency with Microsoft 365 administration tools: Exchange Admin Center, Microsoft 365 Admin Center, and Purview / Compliance Center.

PowerShell proficiency for messaging administration, automation, and reporting (Exchange Management Shell, Microsoft Graph).

Solid understanding of SMTP, DNS, TLS, and core email and network protocols.

Experience in an End User Services or IT generalist support capacity (desktop support, M365 productivity applications, or hardware).

Strong written and verbal communication skills; able to convey technical issues clearly to non-technical stakeholders.
Preferred Qualifications

Experience with Microsoft Defender for Office 365: threat investigation, Safe Links, and Safe Attachments.

Familiarity with Microsoft Purview: DLP policies, Office Message Encryption (OME), sensitivity labels, and retention policies.

Familiarity with identity platforms (Okta, Azure AD / Entra ID) and SSO as they relate to messaging and directory synchronization.

Experience supporting regulated environments or compliance frameworks (SOC 2, ISO 27001, GDPR, ITAR).

Relevant certifications: Microsoft 365 Certified: Messaging Administrator Associate, CompTIA Security+, or equivalent.

Experience with Google Workspace Admin SDK or APIs for automation and reporting.
