The Senior Group Paralegal, FMG provides experienced, high-level paralegal and legal-operations support across Force Motion Group and its U.S. and global business operations. Reporting directly to the Vice President Human Resources, the role supports corporate governance, contract administration, compliance and ethics matters, investigations, employment-related legal support, litigation and claims support, legal research, document management, and coordination with external counsel. The Senior Group Paralegal will also support the administration and documentation of ethics and compliance hotline matters and maintain approved employee-facing legal, compliance, and HR communications through HubEngage/ADP platform. The successful candidate will be highly experienced, self-directed, pro-active, collaborative, discreet, practical, and comfortable taking ownership of complex matters in a fast-paced, multi-entity organization while maintaining appropriate escalation and confidentiality.


Key Responsibilities

  • Provide senior-level paralegal and legal-operations support to for other authorized Group leaders across U.S. and global matters.
  • Manage legal and compliance matter intake, maintain accurate matter files and trackers, prioritize deadlines, coordinate required actions, and follow matters through to completion.
  • Support corporate governance and legal-entity administration, including maintaining entity records, organizational documents, officer and director information, written consents, resolutions, minutes, registered-agent records, and recurring filing calendars.
  • Prepare, organize, review, and maintain legal documents, client contracts, corporate records, certifications, correspondence, Policy, and supporting materials to a high standard of accuracy and confidentiality.
  • Lead commercial-contract administration, including intake, template use, first-pass document review, redline coordination, signature routing, contract repository maintenance, key-date tracking, and follow-up on contractual obligations.
  • Coordinate with internal stakeholders and external counsel on customer, supplier, service-provider, confidentiality, licensing, and other business agreements, ensuring matters are progressed efficiently and escalated appropriately.
  • Manage and support ethics and compliance hotline activity, including monitoring hotline calls and reports, completing initial intake, documenting factual information, maintaining confidentiality, and promptly escalating leading on the investigations reporting findings to Vice President of Human Re
  • Maintain complete hotline case logs and supporting records, track investigation ownership and status, follow up on agreed actions, document closure, and prepare periodic factual trend or status reports for authorized leadership.
  • Support internal hotline and grievance investigations as a neutral party by coordinating interviews, collecting and organizing documents and evidence, maintaining chronologies and investigation files, tracking action items, and preparing factual summaries for review.
  • Support employment-related legal matters, including agency charges, claims, employee-relations escalations, policy matters, document collection, case chronology preparation, and coordination with external employment counsel where required.
  • Support litigation, disputes, subpoenas, claims, audits, and regulatory inquiries, including legal holds, document preservation, eDiscovery coordination, evidence collection, deadline tracking, and liaison with external counsel.
  • Conduct legal and factual research using appropriate resources and prepare clear summaries, chronologies, issue lists, and background materials for review by the Vice President Human Resources and/or legal counsel.
  • Support compliance programs, policy maintenance, training records, certifications, audit evidence, third-party diligence, and other controls designed to support ethical and compliant business operations.
  • Maintain and update approved legal, compliance, ethics, and HR communications through HubEngage, including policy notices, training reminders, employee updates, and other authorized content, ensuring information is accurate, timely, and appropriately archived.
  • Coordinate with Communications, HR, Compliance, IT, Finance, and business leaders as necessary to ensure HubEngage content and legal/compliance communications are properly approved before publication.
  • Maintain legal document-management and records-retention practices, including organized electronic files, version control, retention schedules, and access restrictions for confidential or privileged materials.
  • Coordinate external-counsel engagement and administration, including matter opening, document transfer, status follow-up, invoice review support, spend tracking, and maintenance of outside-counsel records.
  • Assist with preparation of reports, presentations, training materials, templates, policies, and procedures relating to legal, ethics, compliance, governance, and employee matters.
  • Build effective working relationships with business leaders and cross-functional teams while protecting confidential information and applying sound judgment about when to escalate issues.
  • Work independently with minimal supervision, manage multiple competing priorities and deadlines, and keep the Vice President Human Resources appropriately informed of progress, risk, and required decisions.
  • Support global business initiatives, legal-operations improvements, and special projects as assigned.

Skills & Qualifications:

  • Minimum 8+ years of progressive paralegal experience, including substantial experience operating at senior level with a high degree of independence and ownership.
  • Significant experience supporting a large, multi-entity corporate group, multinational organization, major law firm, or similarly complex business environment is required.
  • Demonstrated experience supporting corporate governance, commercial contracts, compliance and ethics matters, investigations, litigation or claims, and legal document management.
  • Experience supporting U.S. legal matters and working with U.S. outside counsel, regulators, agencies, or courts as relevant to assigned matters.
  • Experience supporting confidential employee-relations, employment-law, investigation, or whistleblower matters is strongly preferred.
  • Experience administering or supporting an ethics/compliance hotline, speak-up program, case-management process, or comparable confidential reporting channel is strongly preferred.
  • Experience maintaining employee-facing content through HubEngage or a comparable internal communications/content-management platform is preferred.
  • Experience working across multiple jurisdictions, business units, and time zones and coordinating with global stakeholders is strongly preferred.
  • Proven ability to manage a high volume of matters, competing deadlines, and sensitive information without sacrificing accuracy, confidentiality, or follow-through.
  • Strong working knowledge of U.S. paralegal practice, legal terminology, legal research, document preparation, corporate records, matter management, and litigation-support processes.
  • Strong understanding of professional boundaries applicable to paralegal work, including appropriate escalation of legal advice and attorney-level decisions to qualified counsel.
  • Excellent judgment, discretion, and ability to handle highly confidential, privileged, and sensitive information.
  • Strong organizational and project-management skills, with disciplined follow-up, document control, deadline management, and attention to detail.
  • Ability to conduct structured legal and factual research and turn complex information into accurate, concise summaries, chronologies, and action trackers.
  • Strong written and verbal communication skills and the ability to work credibly with senior leaders, employees, external counsel, service providers, and cross-functional teams.
  • Strong capability with Microsoft 365, particularly Word, Excel, PowerPoint, Outlook, Teams, and SharePoint, together with familiarity with legal document-management, eDiscovery, case-management, and contract-management tools.
  • Ability to use and administer HubEngage or comparable employee-communications/content platforms for approved legal, compliance, ethics, and HR communications.
  • Ability to work independently, identify priorities, escalate risk appropriately, and take ownership of assigned matters from intake through completion.
  • Practical, business-oriented mindset with the ability to balance speed, accuracy, process discipline, and service to internal stakeholders.
  • Adaptability and resilience when supporting urgent investigations, claims, deadlines, or other high-pressure matters in a global organization.


Education:

  • Bachelor's degree from an accredited institution in Legal Studies, Business, Political Science, or a related field, or equivalent relevant professional experience.
  • Formal paralegal qualification or certificate from an ABA-approved or otherwise recognized U.S. paralegal program is required.
  • Certified Paralegal (NALA), PACE Registered Paralegal (NFPA), or comparable professional certification is preferred.
