Work may range in complexity depending upon nature and size of litigation being supported. The position supports all aspects of the litigation function, with a particular emphasis on document collection and review for discovery requests, responses to regulatory requests, and responses to subpoenas. The litigation paralegal will work closely with internal and external counsel, the e-discovery team (including IT staff), compliance personnel, and business partners, in an environment that involves managing multiple projects at a time and meeting inflexible deadlines. 

 As a part of the enhanced responsibilities for this role, this position will report directly to the SVP, Deputy General Counsel and will also involve efforts to improve our discovery management process through AI. Additionally, there will be opportunities to “float” on strategic projects elsewhere in the department, providing exposure to cross functional collaboration and other initiatives.

 Role may include supervision of staff and projects.

 Position Description

 Communicate with external counsel for scheduling meetings, depositions, document requests, declarations, and verifications. Serve as liaison between counsel and the business for document discovery and fact finding. Fulfill all discovery needs by communicating with counsel.

·         Fulfill discovery needs by liaising outside counsel, the business lines, and the eDiscovery team to collect relevant hardcopy and Electronically Stored Information (archived email, SharePoint or shared drive data) for review and production in Relativity

·         Oversee document productions to ensure relevant and non-privileged documents are securely transferred to external entities using the proper technical specifications, via encryption software to prevent data breaches

·         Evaluate discovery needs to determine if a vendor is needed for project management and document review based on data volume and discovery deadlines

·         Have experience with large-scale electronic discovery including identification, collection, privilege and relevancy review, processing (coding, sorting, searching) and production using Relativity.

·         Have a general understanding of the civil litigation discovery process, including the obligation to preserve relevant documents.

 

Case Management & Reporting

  • Utilize the Ascent case management database to open and close matters and update case statuses, eDiscovery vendor costs by matter
  • Add key documents and notes to maintain continuity of case management reporting
  • Assist business lines with litigation and regulatory disclosure in connection with RFPs
  • Coordinate outside counsel responses to requests for information from Voya’s public auditor

 

Legal Hold Management

  • Draft legal holds for review by responsible attorney. Send legal hold notices and reminders, track responses, and release legal holds at the conclusion of a matter using Ascent’s Legal Hold tool.
  • Review open legal holds on a semi-annual basis to ensure any inactive holds are closed
  • Coordinate with the vendor to make any changes or improvements to Ascent’s Legal Hold to as needed
  • Manager of X_Legal Working Group on Service Now. Add members to X_Legal Working Group on Service Now for the purpose of responding to legal hold tasks received from IT
  • Review and respond to legal hold tasks in Service Now as a back-up for primary support paralegal

 

Relativity Support

  • Create new matters, data upload requests, user access requests, and project management requests in the Relativity dashboard
  • Submit project management tickets for case team, such as basic saved searches and submitting tickets for more complex saved searches; submit analytics jobs like email threading and/or predictive coding projects; communicate with users and eDiscovery team to resolve issues with the environment; and train external users on basic Relativity functions as needed
  • Review and update matter status and list of Relativity workspaces on a quarterly basis to determine which matters can be archived or purged to minimize data costs and maximize space for new matters

 Knowledge & Experience

  • Bachelor’s degree or equivalent experience.
  • Paralegal certification
  • Seven plus years’ experience
  • Working knowledge of applicable United States federal and state regulations
  • Experience with Relativity or other ediscovery tools helpful                                        
  • Excellent verbal and written communication skills. Ability to communicate with all levels inside and outside an organization
  • Demonstrated leadership and problem solving skills
  • Business acumen with ability to drive efficiencies, maximize utilities, and identify cost savings
  • Creative thinker with vision to expand role in different ways

Compensation Pay Disclosure:

Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.

The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.

Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.
