The Senior Manager, Litigation Paralegal holds a pivotal role within the Company’s Legal Department, a team of dedicated legal professionals committed to delivering outstanding service, value, and reliable counsel that supports the Company’s business objectives.

This role is responsible for supporting attorneys throughout all phases of litigation and pre-litigation matters, including research, legal document preparation, discovery coordination, and matter management. The ideal candidate possesses exceptional organizational skills, strong written and verbal communication abilities, meticulous attention to detail, and the versatility to work both independently and collaboratively in a fast-paced, growth-oriented environment. Adaptability to shifting priorities and proactive identification of opportunities for improvement are essential.

Responsibilities

Litigation
 

  • Support attorneys in the Legal Department in managing litigation, disputes, and regulatory enforcement matters, including tasks such as preparing litigation holds, managing document collection (e-discovery), scheduling and/or conducting witness interviews, deposition preparation, document drafting, e-filing, and service.
  • Manage the Company's Legal Hold process, including issuing Legal Hold and Lift Notices and managing data collection and preservation.
  • Coordinate discovery, including e-discovery, working with outside counsel and IT Security to gather and collect documents and electronically stored information.
  • Manage intake and distribution of Service of Process.
  • Manage Matter Management and Document Management system ensuring timely updates from inception to closure.
  • Manage matter deadlines, files and records and coordinate meetings on responsible matters.
  • Manage the Company’s response to all third-party subpoenas and requests for records.
  • Investigate and respond to employment or wage related inquiries from external agencies such as the EEOC or DOL by collecting preliminary facts, organizing relevant documents, and preparing draft position statements for attorney review.
  • Work in partnership with human resources and in-house counsel regarding employee relations and termination issues to include research, direction, and draft forms to comply with federal and state WARN act requirements.
  • Draft legal documents related to litigation, regulatory enforcement matters, and non-litigation matters, including but not limited to responses to attorney demand letters, correspondence with regulators, separation agreements, settlement agreements, cease and desist notices, etc.
  • Attend meetings with outside counsel and internal stakeholders to ensure up to date knowledge of litigated and pre-litigated matters.
  • Review and monitor litigation budgets, accruals, and reserves, including analysis of budget versus spend.
  • Manage and oversee the processing of settlement payments related to litigation, employment claims, labor fines, and regulatory penalties.
  • Analyze outside counsel and vendor invoices to ensure compliance with billing and budgeting guidelines and enforce reductions where appropriate.

Legal Technology, Reporting, and Process Support

  • Serve as a key administrator and coordinator for the Company’s e-billing and matter management platform, including matter setup, budget entry, invoice review and approval, accrual collection, reporting, and system enhancements.
  • Support engagement onboarding and timekeeper rate review for outside counsel and vendors.
  • Prepare reports and PowerPoint presentations for internal leadership, Audit and Finance Committee materials, and external auditors.
  • Build and maintain recurring and ad hoc litigation, compliance, and spend reports.

General

  • Foster strong cross-functional working relationships at all levels of the organization to support a culture of collaboration and compliance.
  • Conduct legal and factual research projects upon request.
  • Support department initiatives, process improvement efforts, and special projects as needed.
  • Perform administrative and project-related tasks as needed, including scheduling meetings, conferences, and follow-ups on legal matters.

Competitive Pay $104,942 to $146,918 annually.

The actual pay offered will be determined by multiple factors, including but not limited to the candidate’s relevant experience, job-related knowledge, skills, and geographical location. Individual compensation decisions are dependent upon the facts and circumstances of each position and candidate.
