The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

GENERAL PURPOSE
Provides administrative support and performs substantive and procedural work within the Office of Counsel. Provides legal assistance and performs a variety of legal-related tasks, including document preparation, review, research and coordination. Responsible for maintaining confidential and/or client privileged information. Performs both routine and nonroutine duties to support the needs of the Office of Counsel, including functioning as backup to the administrative assistant and occasional administrative support to the Senior Vice President & General Counsel and other attorneys in the Office of Counsel as needed.

This position requires communication and interaction with University senior executive leaders, deans, faculty, staff, students and legal offices both inside and outside the University. This is a 100% on-site position, including times when others may work remotely.

ESSENTIAL FUNCTIONS

  • Provides legal assistance and support for attorneys in the Office of Counsel, including but not limited to the following summarizes, reviews and monitors status of ongoing legal matters; manages intake of new matters and related information, including locating, collecting and managing related data and documents in various electronic systems; (25%)
  • Responds to client questions and requests with input from an attorney as required; identifies next steps and records status and deadlines. (15%)
  • Drafts communication and manages document collection upon request of attorneys.
  • Maintains legal and policy project databases. 
  • Coordinates document filings with government agencies.
  • Manages calendars, priorities and deadlines; schedules meetings and prepares meeting materials as necessary; manages filing and information storage and retrieval.
  • When functioning as backup to the administrative assistant manages travel and reimbursements.
  • Manages incoming/outgoing mail and deliveries; answers incoming telephone calls and interacts with visitors to the Office of Counsel. 
  • Manages and tracks claim information and documents retention requests. 
  • Processes and tracks litigation hold and information.

MINIMUM EDUCATION & EXPERIENCE

  • High School diploma Required
  • 3 years of relevant experience Required
  • or equivalent combination of education and experience Required
  • Experience in a labor and employment law or complex transaction law setting Preferred


KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent communication (verbal and written), interpersonal and editing skills Required
  • Analytical skills and strong attention to detail Required
  • Ability to accurately interpret legal documents Required
  • Ability to manage and effectively complete large-scale discovery procedures, particularly e-discovery Required
  • Ability to manage multiple workstreams and cases and successfully balance overlapping projects and assignments Required
  • Ability to read and draft legal documents and synthesize information for a wide range of legal topics Required
  • Proficiency with Microsoft office, including Word, PowerPoint, and Excel Required
  • Ability to work independently and make necessary and appropriate decisions within ethical legal parameters Required


LICENSES AND CERTIFICATIONS

  • Notary License Notary Public license or willingness to obtain one upon hire preferred
