Your Opportunity

Our Toronto office is looking for a Legal Assistant to join our national in-house legal team (Office of the General Counsel) where you will primarily support the Litigation/Regulatory team, with secondary support for the Employment and Privacy teams, and be responsible for the following:

  • Provide administrative and general office support including, but not limited to, scheduling and calendar management, maintaining records of department expenses, scheduling phone calls with internal and/or external parties, and formatting/proofreading documents.
  • Draft correspondence, memos, call/meeting notes, chronologies, summaries, letters, templates, settlement documentation and reports.
  • Communicate with staff in other departments (e.g., IT, Marketing, HR, Finance, etc.), external counsel, opposing counsel and other parties as required and/or instructed.
  • Maintain timelines and action plans (including a ticker system) for critical deadlines, and monitor external counsel legal spend/budgets.
  • Prepare creative presentations in PowerPoint and other software programs that utilize photos, videos, audio material and other visual assets as necessary.
  • Maintain an electronic filing system using the department’s file management software (ensure that daily filing is kept up to date), including Net Documents and SharePoint.
  • Utilize technology and practice software to keep case files organized and easily accessible and track progress of all matters, including creating analytics dashboards using Power BI and maintaining case file logs and reports/trackers.
  • Work with partners & staff to complete information/document/email gathering, and handle logistics of document production to external parties (e.g., opposing counsel).
  • Serve as general administrator for our internal eDiscovery platform, RelativityOne, and perform first-level document/email review and coding/redactions in Microsoft Purview and Relativity One.
  • Monitor news sources for legal developments and communicate relevant developments to lawyers as appropriate.

This role offers the opportunity to grow into a Law Clerk position over time, based on demonstrated performance, initiative, and professional development.

Your experience and education

  • You have 5-7 years of relevant experience as a legal assistant at a major law firm and/or in-house legal department supporting a pool of lawyers.
  • You are proficient with MS Office applications (Outlook, Word, Excel, PowerPoint and SharePoint), as well as Adobe
  • Proficiency with the RelativityOne eDiscovery platform, Microsoft Purview, Microsoft Forms, NetDocuments, Microsoft Power BI, enterprise AI tools, tickler systems, and/or CanLII would be considered an asset
  • You have exceptional organizational and document management skills with strong attention to detail
  • You have a strong work ethic, and are highly motivated and enthusiastic with a demonstrated ability prioritize multiple assignments
  • You have strong critical thinking skills and a high level of initiative, with an ability to proactively solve problems
  • You have the ability to work in a fast-paced environment and meet tight deadlines
  • You have excellent written and verbal communication skills
  • You are a flexible team player who is client service oriented with the ability to deliver superior standard of service
  • You are comfortable with a paperless environment for organizing and managing files and records
  • You have the ability to effectively partner with all levels of the business and develop / sustain cooperative working relationships with internal staff, clients and external contacts
