Description & Requirements

The Director, Enterprise Records Disposition & eDiscovery serves as the firm's accountable owner for two closely related disciplines: records retention and disposition, and litigation hold and eDiscovery. This role ensures information is retained only as long as required to meet business, legal, regulatory, and client obligations and is then defensibly disposed of. The role also ensures information subject to preservation requirements is appropriately identified, held, and produced with a reproducible audit trail.

This position leads the firm's dedicated litigation hold and eDiscovery team and is responsible for the performance, governance, and defensibility of these programs.

The scope of responsibility spans the firm's electronic information environment, including Microsoft 365, file services, line-of-business applications and databases, archives and backup media, cloud and SaaS platforms, and third-party or acquired entity environments. Responsibilities include both operational and engagement records governed by professional standards, regulatory requirements, and client contractual obligations.

Reporting to the Chief Information Compliance Officer, this position partners closely with Legal, Risk Management, Technology, and firm leadership to support the firm's information governance and compliance objectives.

What You Will Do: 

Program Strategy and Governance
  • Set enterprise strategy, annual priorities, and the multi-year roadmap for retention, disposition, defensible destruction, litigation hold, and eDiscovery.
  • Develop and maintain the policy, standard, and procedure set governing both disciplines, including decision rights, approval thresholds, service levels, and accountability requirements.

Retention Schedule, Coverage, and Disposition Execution

  • Build and maintain a current, legally validated enterprise retention and disposition schedule covering record categories, owners, jurisdictions, retention periods, trigger events, legal authority, and approved exceptions, with periodic validation across Legal, Tax, Risk, Privacy, Human Resources, Technology, and the business.
  • Operate formal change control for schedule updates and maintain the repository inventory with retention mapping and disposition method for each system. Approved exceptions are documented, expiry-dated, and carry a remediation path.
  • Build and operate a risk-based disposition calendar. Ensure each event is supported by documented scope, eligibility criteria, owner notification, approvals, preservation checks, secure destruction, reconciliation, and evidence that will withstand deposition, regulatory examination, audit, and client assessment.

Litigation Hold and eDiscovery Oversight
  • Own the end-to-end litigation hold process: intake from Legal, custodian and data source identification, issuance, acknowledgment tracking, reissue, scope modification, and release, each with a reproducible audit trail.
  • Oversee eDiscovery preservation, collection, processing, and production in support of Legal and external counsel, maintaining chain of custody and documented defensibility throughout.
  • Ensure hold status suppresses disposition automatically wherever technically possible and by documented procedural control everywhere else. Prove hold suppression by test before automated disposition runs at scale and re-prove it after material platform or configuration change.
  • Report hold and eDiscovery performance against agreed service levels, and escalate preservation gaps, collection limitations, and defensibility risk to Legal and the Chief Information Compliance Officer.

Technology Ownership and Automation

• Own the disposition and eDiscovery technology estate: requirements, selection, configuration, retention and hold rule design, workflow, integrations, administrative access, logging, reporting, testing, and vendor performance.
• Own configuration within Microsoft Purview and Varonis, including file plan, retention labels and policies, event-based retention, records declaration, disposition review, proof of disposal, and eDiscovery hold, search, and export.
• Advance automation across discovery, classification, retention application, eligibility identification, disposition execution, hold issuance and tracking, and evidence capture.

Document Requests, Records, Privacy, and Third Parties
  • Translate legal, regulatory, contractual, and business recordkeeping obligations into information categories, retention requirements, preservation triggers, and disposition rules, including AICPA and PCAOB workpaper retention, ISQM requirements, SEC and tax authority regulations, privacy laws, litigation and investigation hold requirements, and independence documentation.
  • Provide governance and oversight for document, records, and information management requirements, including retention, preservation, confidentiality, legal hold, and disposition. Ensure appropriate processes exist to support client, regulatory, audit, discovery, subpoena, public records, and other information requests while maintaining compliance with legal and contractual obligations.
  • Support the privacy program on data minimization and deletion obligations and set requirements for third parties and acquired entities so retention, preservation, and disposition obligations follow the data.

Assurance, Adoption, and Team Leadership
  • Lead, develop, and manage the dedicated litigation hold and eDiscovery resources and records management personnel. Set goals, service levels, and quality expectations, and establish cross-training, and documented procedures.
  • Implement and oversee compliance monitoring and control testing across both disciplines. Identify gaps, assign corrective actions, track remediation, and escalate high-risk matters.
  • Develop dashboards and executive reporting, and support audits, regulatory examinations, client due diligence, and investigations by producing evidence of authority, approvals, execution, exceptions, and remediation.
  • Provide authoritative guidance and role-based training on recordkeeping, disposition, and hold obligations. Monitor legal, regulatory, professional, and technology developments and translate them into program updates. Perform other duties as assigned.

Minimum Qualifications: 
  • Associate degree and 10+ years of relevant experience, or 12+ years of directly relevant experience in lieu of a degree.
  • Minimum of 10 years of progressive experience in records and information management, retention and disposition, information governance, or eDiscovery, including at least 5 years of direct accountability for records disposition, litigation hold, or both.
  • Demonstrated experience designing and implementing enterprise records retention and disposition programs, managing litigation hold and eDiscovery processes, and overseeing supporting technologies.
  • Direct experience leading and managing specialist practitioners against established service levels and performance standards.
  • Certified Records Manager (CRM) or Information Governance Professional (IGP).

Preferred Qualifications: 
  • Bachelor's degree in Records and Information Management or a related discipline, such as Information Governance, Library and Information Science, or a comparable field.
  • Leadership experience within a large, regulated, professional services, or multinational organization, including experience integrating acquired entities.
  • Additional certifications such as Certified E-Discovery Specialist (CEDS), Certified Information Professional (CIP), Certified Information Governance Officer (CIGO), or Microsoft 365 Compliance certifications.
