To maintain the highest standards of compliance with laws and policies, it is imperative that these policies are well embedded in the company’s culture and that all employees are well-versed in the company’s guidelines, standards, and expectations.
We are looking for a highly motivated and detail-oriented Data Retention Review Specialist to join our team. In this role, you will be responsible for ensuring our company's documents are managed in full compliance with legal and internal policy requirements. You will play a critical role in developing and maintaining a robust framework for document retention and compliance monitoring.
What You Will Do
• Framework Development: Develop, implement, and operate a comprehensive framework for document retention review and compliance monitoring.
• Policy & Procedure: Assist in developing and updating internal data retention policies and procedures.
• Document Evaluation and Action: Conduct systematic data reviews using keyword searches, metadata analysis, and other e-discovery techniques to ensure retention periods are adhered to. Review existing company documents, evaluate the necessity of their retention, and take appropriate action based on predefined procedures.
• Investigative Data Analytics/Review: Perform detailed analysis on large datasets to identify patterns of non-compliance and areas of risk related to data retention. Collaborate with IT and data owners to understand data storage systems and execute targeted data queries and reviews.
• Compliance Monitoring: Monitor to ensure all required documents are retained for the legally mandated period. Identify and lead the remediation of any issues found.
• Collaboration: Work closely with the Legal team and Compliance SMEs to regularly identify new or updated legal requirements for document retention and ensure these are integrated into our monitoring framework.
• Training & Awareness: Conduct training sessions for employees to promote awareness and understanding of data retention policies and best practices.
• Reporting: Prepare and present regular reports to management on the status of data retention compliance and any identified risks or issues.
Basic Qualifications
• Bachelor’s degree in a relevant field such as Law, Accountancy, Information Management, or Business Administration.
• Proven experience in a compliance, legal, or information management role, with a focus on data or document retention.
• Strong understanding of legal and regulatory requirements related to data and document retention (e.g., privacy laws, industry-specific regulations).
• High degree of discretion and professional judgment, with the ability to handle sensitive and confidential information.
• Proven, hands-on experience in data analysis, document review, or e-discovery processes, including the use of keyword searching and data filtering.
• Excellent analytical and problem-solving skills, with a keen eye for detail.
• Ability to work independently and collaboratively with various teams, including Legal, IT, and business units.
Preferred Qualifications
• Certification in data privacy (e.g., CIPP, CIPT) or information governance.
• Experience with data governance, e-discovery, or information lifecycle management software.
• Project management experience.
• Experience working in a fast-paced, multi-lingual global environment.
• Technical understanding of data storage and management systems.
Type of Work Model
Hybrid
Our hybrid work model is designed to enable a culture of collaboration that acts as a catalyst to enrich the experience of employees. Employees are required to work at least 3 days in the office per week, with the flexibility to work from home 2 days a week, depending on the role requirements. Some businesses may require more time in the office due to the nature of the work.
