About CMS Evidence
The CMS Evidence team provides clients and lawyers with fast, secure access to critical information during investigations and the disclosure stages of litigation or arbitration. You will join a growing legal services team that manages modern technology and robust processes for the forensic handling, review, and distribution of electronic and physical evidence.
The team supports matters end-to-end—from data receipt through to review readiness and onward disclosure—while maintaining strong information governance, security and defensible workflows.
About The Role
The Client Data Administrator is the operational anchor for CMS Evidence’s data management and matter administration. You will manage the controlled intake, secure storage, tracking and movement of client data; set up and maintain review workspaces; administer platform users and permissions (including RelativityOne); and coordinate recurring operational tasks such as archiving/restores, storage management, and billing/hosting administration.
You will also act as a day-to-day mentor to our Client Data Apprentice, supporting their development through structured task coaching, quality checks, and process guidance.
Key Responsibilities
1) Client Data Intake, Governance & Tracking
Receive and manage incoming client data via secure transfer routes (e.g., FTP and physical media), ensuring data is copied to appropriately restricted matter folders and logged in tracking records.
Maintain accurate trackers/spreadsheets for media, archiving, new matters and operational activity; keep records current and auditable.
Support defensible processes by following established governance practices for storage, retention and evidence handling.
2) Matter & Workspace Set-Up (eDiscovery / Investigations)
Create and configure new workspaces as required and support ongoing workspace administration.
Create and manage users, groups and permissions within RelativityOne, including granting access and resetting passwords as required.
Disable inactive users on a scheduled basis and maintain clean access controls.
3) Archiving, Restores & Storage Management
Archive inactive/closed matters and restore archived matters upon request, aligning to platform capabilities and wider archiving expectations.
Manage storage capacity across matter file shares and relevant repositories, proactively flagging capacity issues and proposing clean-up/archival actions.
Assist with downloads/uploads from secure transfer locations (e.g., FTP/ROSE) and help maintain appropriate storage hygiene.
4) Physical Evidence Handling & Chain of Custody
Maintain the onsite evidence repository (including secure cabinet storage), ensuring proper organisation and chain-of-custody practices for physical media and hardcopy evidence.
Take delivery of evidence from vendors and ensure correct logging and secure handling.
5) Operational Administration & Billing Support
Support billing/hosting administration (e.g., platform hosting charges) and invoice submission workflows as required.
Support ad-hoc operational tasks such as machine translations and administrative coordination where needed.
6) Mentorship: Client Data Apprentice
Act as a day-to-day mentor for the Client Data Apprentice: provide structured guidance on core tasks (data intake, tracking, workspace/user admin, storage checks, evidence handling).
Review work output for accuracy and defensibility; provide feedback and coaching to build confidence and capability.
Help maintain and improve training outlines/SOPs so the apprentice role scales sustainably and consistently.

About you
Skills & Experience:
Essential
Strong attention to detail and comfort working with structured data, file systems, and process-driven workflows.
Confidence managing sensitive/confidential information with a security-first mindset.
Ability to organise competing priorities and maintain accurate trackers and records.
Clear communication skills and a client-service orientation.
Desirable
Experience in eDiscovery, investigations, legal tech, litigation support, data administration, or information governance.
Hands-on experience with RelativityOne user/group administration and workspace management (or comparable platforms).
Familiarity with evidence handling concepts (e.g., chain of custody) and archival/restoration processes.
Personal Attributes

Methodical and reliable; able to work calmly under time pressure.
Collaborative mindset; motivated to mentor and develop others (apprentice coaching).
