Overview

IST Management is seeking an Assistant Office Services Manager to join the Boston, Massachusetts team!

 

The Assistant Office Services Manager will be responsible for overseeing Corporate Hospitality, Mail Room, Copy/Print, and Reception Services on-site, in addition to, assisting with the supervision of on-site team. Ideal candidates should have prior related experience in hospitality and other services, possess strong analytical skills, have excellent customer relationship management abilities, are highly organized, and are ready to grow within their professional office services career!  Documented experience in a Mail Room and Copy/Print Center are required.

Schedule: Monday through Friday, 10 AM to 7 PM.

Compensation: $60,000-65,000 USD- Salaried. Direct hire.

 

 

Responsibilities

  • Mail Room Services- process/scan/sort/delivery of mail and packages throughout office to appropriate personnel
  • Copy/Print Services- utilization of duplication and printer equipment, attention to detail, maintain equipment
  • Front-Desk Reception coverage as needed (i.e. lunch breaks, etc.)
  • Hospitality Services- conference room management (setups/breakdowns for meetings, catering, staging food, coffee), maintain site common areas- ensure cleanliness, order supplies
  • Manage, train and coach on-site employees and develop a work environment that promotes high motivation and customer satisfaction
  • Take corrective action as necessary on a timely basis and in accordance with company policy

Qualifications

  • High school diploma or equivalent (GED)
  • One year experience supervising or managing similar operations preferred
  • Litigation Copying/scanning/mailing, Xerox equipment experience 
  • Knowledge of Microsoft Office (Word & Excel) and familiarity with computer basics is preferred
  • Ability to communicate both verbally and written with customers and other employees both one-on-one and during meetings
  • Ability to prepare reports and present information to customers
  • Must have attention to detail and critically think through and resolve problems
  • Must have customer service skills and be able to maintain a consistent, high level of service
  • Must have ability to multi-task, manage multiple accounts and establish priorities
  • A valid driver’s license and/or reliable transportation to and from work
  • Lifting up to 55 pounds
  • Standing for long periods of time
  • Significant walking
  • Willingness to cross-train
