Under the direction of the Accounting Director, the Accounts Payable Clerk is responsible for processing of invoices and reimbursements received for payment in an accurate, efficient and timely manner. This position provides day-to-day support for accurate entry and processing of Accounts Payable data for the Firms accounting system. The position calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside vendors.
DUTIES, TASKS AND RESPONSIBILITIES:
Under supervision, assist in preparation of payments for invoices received and Accounts Payable (AP). Tasks include:
- Review vendor invoices, obtain proper approval, and accurately code to correct general ledger accounts
- Prepare vouchers for payment including researching past due amounts; ensure no duplicate payments
- Review vendor records to identify any missing invoices; contact vendor, where appropriate, for copies
- Cut live checks and electronic payments at the direction of the Accounting Director; mail live checks in a timely manner which may include Certified Mail. Verify the descriptions, spelling and presentation of all data entered into the AP system and verify they conform to Firm standards
- Manage employees in Emburse Professional and monitor/process expense report submissions
- Process and reconcile credit card statements, communicate with cardholders, track down missing receipts, code properly
- Coordinate with the Accounting Director to create new vendors
- Maintain vendor files including W9 details and addresses
- Prepare annual 1099 submissions
- Alert the Accounting Director to issues related to Accounts Payable.
· Administrative Duties
- Perform administrative duties as necessary. These duties may include:
- Sort and scan mail / documentation received
- Prepare and deliver periodic progress reports including appropriate metrics
- Adhere to business standards and procedures
- Other related duties as assigned.

QUALIFICATIONS:
· Associate degree in accounting or related field minimum; Prefer bachelor's degree or higher
· 2-4 years of experience in the field or in a related area highly desirable
PHYSICAL REQUIREMENTS
- Occasionally lifts objects weighing up to 10 pounds
- Frequently reaches and grasps with arms and hands; occasionally stoops and bends; must have manual dexterity
- Ability to closely examine and inspect materials
- Ability to identify and distinguish colors
- Ability to travel as needed
- Frequently uses a keyboard to enter or transform words or data
- This position is a remote role, requiring the incumbent to work primarily from their home office, with the ability to work in a local office as required. A dedicated workspace with a comfortable ergonomic chair, a suitable desk, and adequate lighting is required. The Firm will provide a laptop, monitor, software licenses, and appropriate ergonomic equipment as needed.
