Information Governance & eDiscovery Analyst

Our client, an elite global alternative asset management firm, is seeking to add an Information Governance & eDiscovery Analyst to its sophisticated and growing team. As a member of the Information Risk Management team within the Data Policy and Strategy function, this ESI and IG analyst will assist with programs designed to identify, retain, and organize critical information while minimizing associated risks with over-retention of information, including cybersecurity, data protection, governance, and access control risks. This individual will play a key role maintaining registers of information assets and associated compliance documentation and will oversee management processes and metrics associated with record retention. Experience working for a law firm, consulting firm, or eDiscovery service vendor is paramount for this position. Candidates with proficiency in creating, securing, using, and administering legal holds and preservation in one or more litigation support technologies are encouraged to apply.

Position Description Responsibilities:

  • Assisting counsel with custodial interviews as part of the process for implementing legal holds, and documenting such interviews
  • Implementing preservation or collection of physical records identified by legal and compliance as being subject to legal hold or preservation, including by using M365 eDiscovery and compliance modules
  • Managing and updating preservation documentation, including legal hold lists, and maintaining an accurate and up-to-date data inventory of unstructured information assets subject to preservation
  • Performing litigation hold and information governance gap analysis, and interpreting gap analysis data, particularly with respect to unstructured data
  • Assisting with the identification and collection of information related to document requests directed to the company, as well as information requests from internal teams
  • Creating and refining searches in the archive, messaging, and eDiscovery systems to identify relevant material in response to collection requests, internal investigations or litigation or regulatory matters, and information requests from internal teams
  • Preparing documents and data sets for delivery to external parties
  • Validation and release of legal holds and associated physical and electronic records
  • Monitoring retention schedule and performing reconciliation of physical and electronic records with a retention schedule
  • Running searches and performing analysis to identify information assets that may be eligible for destruction, preparing destruction orders, and ensuring compliant destruction of information assets according to established policies and processes
  • Preparing, updating, and managing compliance registers of information assets, data maps, and information technology asset registers including systems of record
  • Assisting with certification and recertification of non-custodial data sources
  • Responding, as necessary, to data subject access requests under the direction of the privacy operations team
  • Using Excel and/or database skills to effectively analyze large data sets
  • Assisting with creating and updating compliance, process, and best practices documentation

Qualifications and Competencies:

  • Bachelor’s degree or law degree, or relevant left-side EDRM eDiscovery experience
  • Work experience, ideally with a law firm, consulting firm, or eDiscovery services vendor preferred
  • Proficiency in creating, securing, using, and administering legal holds and preservation in one or more litigation support technologies
  • Experience using M365 eDiscovery and compliance modules is an asset
  • Proficient in understanding complex search syntax unique to different search environments
  • Experience with Robocopy is an asset
  • Understanding of principles of file system structures, database management, enterprise architecture, and information systems
  • Understanding the litigation lifecycle and its impact on eDiscovery is an asset
  • Proficiency in MS Office applications, particularly Excel and PowerPoint
  • Strong technical skills, intelligence, and ability to understand technical, procedural, and legal aspects of legal hold and preservation programs
  • Prioritization, perspective and focus on critical tasks that add value
  • Excellent organizational skills and follow-through
  • Highly effective oral and written communication
