Our client, a top-tier legal discovery and managed services provider, is currently seeking a talented Federal e-Discovery Project Manager to join their team. As client-facing “primary points of contacts” for client matters, the Project Manager will be involved in all aspects of project engagements from initial setup to completion, ensuring clients’ needs are met and proactively taking all steps to ensure clients are met with a high-quality level of service. The Project Manager is involved from the beginning of the Matter Design Process and serves as the main client contact and point person for engagement lifecycle, marshalling resources and bringing in other departments (or outside providers/partners) as needed, shepherding client data from department to department, phase to phase, and making sure all client requests are being fulfilled in a timely manner and that all deadlines are met. Candidate must be able to work west coast hours of 9am to 5pm. Position Description:
Responsibilities:
Serves as point person and central hub for all matter activity once project manager team has been assigned to case
- Communicates with clients via email, phone, and in person to address client questions, issues, work requests
- Tracks all client deadlines, client/matter request queue, and status of work being performed by other departments
- Helps to manage and move client data though EDRM phases and appropriate internal departments to get data loaded, tagged, processed, produced/exported, etc.
- Brings in other departments (Forensics, Advisory Services, Sales) as needed or when specialized experience is required
- Ensures client work requests are fulfilled in timely manner and oversee client deliverables by directly handling client requests, working with other departments on requests (and overseeing their work), or delegating project work to Project Coordinators, other PMs, PM Support team members, etc.
- Devises workflows to efficiently solve client e-discovery challenges
- Handles billing for assigned cases and ensure own hours are billed appropriately in billing system
Essential Job Functions:
Onboards, manages, and supports client matters
- Serves as primary point of contact for case team to ensure client needs are being met
- Works closely with clients on matter design process and matter intake
- Continuously tracks multiple projects and jobs within each department to ensure deadlines are met
- Works closely with production to ensure proper allocation of resources based on deadlines
- Serves as a liaison between the company, production, and the client
- Communicates frequently with client to troubleshoot issues and provide status updates according to the client’s preference
- Keeps current project-related documentation current
- Occasional day travel to onsite client meetings
- Tracks projects effectively and follow established firm protocols and procedures
- Handles upkeep of billing system and making sure that all departments update billing information in timely manner
- Satisfies project schedules including production deadlines and data delivery dates
- Tracks required information for data received and transitioned to and from clients
- Follows company policies and procedures as outlined during training
Minimum Qualifications:
Bachelor’s Degree
- Understanding of the U.S. legal discovery process, e-discovery, and the EDRM
- High-level knowledge of general e-discovery operations, including document processing, hosting, review, and production
- Ability to oversee multiple tasks simultaneously and to prioritize appropriately
- Strong oral and written communication skills to effectively communicate with clients and internal departments
- Ability to work well under pressure and meet tight deadlines
- Ability to both work in collaborative environment as part of a team but also independently with limited supervision
- Available to work overtime, including evenings and/or weekends as needed
- Knowledge of Excel, Word, and Outlook
- Experience with Relativity e-discovery platform and other document review hosting platforms
- Ability to oversee multiple tasks simultaneously and to prioritize appropriately
- Familiarity working with PM/Microsoft Windows environments
- Ability to innovate and come up with creative and new solutions to both unique and common e-discovery problems
Preferred Skills & Experience:
- RCA and other Relativity or e-discovery related certifications
- Experience working in either (preferably both) of the following environments: Am Law200 or Law Firm setting as a Paralegal, Associate, Law Clerk, or e-Discovery/Litigation Support professional
- Service provider/vendor operations (in client/attorney facing, non-sales role)
- Experience with e-discovery platforms similar to Relativity (Clearwell, Catalyst, Recommind, etc.)
- Previous management experience including experience developing budgets and workflow strategies
- Substantive (vs. technical) experience with document review or e-discovery matters
- Strong problem solving skills
Expected salary for this exempt role is $100,000 – $120,000, commensurate with experience, training, skills, qualifications, and other market factors.
