The Quilter Privacy Office is looking for a knowledgeable candidate who is a self-starter with regards to data protection, to fulfil a key role in our Data Protection function. The team is a mix of home workers and office based (in Southampton) and undertakes Data Protection activities and assurance across the Quilter group.

This role will lead the activities (as ‘Data Guardian’) primarily for our Quilter Cheviot, Quilter Investors (QI) business and also for our central functions (HR, IT, Finance, etc). As required the role will also provide privacy support related to other Quilter entities.

The Data Guardian fulfils the obligations of Quilter to ensure data protection compliance, both by delivering the Business as Usual outputs and by providing advice, guidance and oversight of day-to-day activities of the businesses. The role holder is responsible for:
• Providing advice to the business in regard to regulatory compliance matters, including analysis and communication of regulatory change;
• Providing support and challenge in regard to regulatory and operational projects;
• Supporting the Group Data Protection Officer (GDPO) by advising on, assessing and challenging the effectiveness of first line processes, procedures and training;
• Advising on, and assessing, Data Protection Impact Assessments for major IT projects and initiatives;
• Fulfilling ‘Data Subjects’ Rights’ for employee DSARs; and
• Managing ‘incidents and breaches’ for QI and all of the Central Functions.

This role offers a professional career path towards other roles in Data Protection and Data Governance, Information Security, Risk Management, and Regulatory & Compliance.

The Data Guardian is the lead point of engagement for the Quilter businesses, supported by Data Protection Specialists and Data Protection Analysts. They manage the delivery of all aspects of the Data Protection compliance within a particular business, or set of businesses, supported by other Data Guardians and the GDPO.

Alongside these ‘day-to-day’ activities, the successful candidate will also deputise for the GDPO and will support them in their role. This would include:
• Providing advice and guidance for members of the Privacy Office, and for businesses as required;
• Attending governance forums and boards to provide updates and expert opinions;
• Delivering training and education across all of the Quilter businesses; and
• Maintaining industry knowledge and tracking key developments.

The role takes a critical role in ensuring that the corporate strategy for Data Protection is delivered. The role may include line management responsibilities.

The successful candidate will have strong knowledge of UK and European Data Protection law.

They may hold ambition to become a Data Protection Officer and have experience with the day-to-day tasks of a Data Protection professional (such as DPIA’s, ROPAs, Incidents and Breaches, and Data Subjects’ Rights).

The candidate will need to be capable of deputising for the GDPO during periods of absence or where workloads demand. They will also act as a source of knowledge and guidance for the whole Privacy Office, in support of the GDPO.

The key attribute for the team is the desire to work across different areas of data protection as the need arises, so a flexible attitude and the ability to determine a sensible priority for tasks to be done is important.

This role involves working with all areas of the business to help them make the right decisions to maintain our compliance, including working alongside the project areas.

A proportion of time will be spent working with business areas to foster strong collaborative working models and you will help other team members develop their knowledge and experience by coaching, leading and delegating work to team members to help them gain the experience required to further their careers.

The candidate will require experience of the main elements of a data protection programme, such as Data Subjects’ Rights, Data Breaches and Impact Assessments in order to provide the required guidance to the team. However, we will offer a training package to increase your knowledge in all areas of the practice, including the ability to study for professional qualifications if desired. Experience of OneTrust would be beneficial.

Knowledge and experience with the governance of Artificial Intelligence will be beneficial.

The candidate will be expected to attend governance forums and assist in educating other members of staff on their responsibilities.

The following skills and qualities are beneficial but not expected:

  • Financial Services experience;
  • Previous experience with OneTrust modules;
  • Previous experience with Microsoft eDiscovery;
  • IAPP certification (CIPP/E and/or CIPM) or equivalent.
